Responsibilities

Duties and Responsibilities: 

 

 

  • Answers incoming calls and relays messages; responds to patient and staff inquiries, schedules clinical appointments, and communicates with referring physician offices.
  • Schedules follow up contact lens appointments authorized by the physician and relays information to patients regarding preparation for the appointments.
  • Provides front end revenue cycle support for Optometric retail/point of service collections.
  • Obtains pre-certifications by the patients’ health care insurers, vision insurance or managed care providers.
  • Assist with charge review to assure successful contact lens claims submission and payment reconciliation.
  • Obtains appropriate financial documents and Care Credit transactions.
  • Support a successful revenue cycle result for specialty contact lenses.
  • Keeps and prepares reports.
  • Provides Workday support.
  • Anticipates needs of patients; shows initiative and responsibility for solving patient problems.
  • Performs clerical duties including preparing records for upcoming appointments and confidential medical files. Assists in preparing the chart for the physician.
  • Attendance, promptness, professionalism, the ability to pay attention to detail, cooperativeness with co-workers and supervisors, and politeness to customers, vendors, and patients.

  • Contact Lens Orders & Returns Management: Handles patient rebates, collecting payment for orders, returns, and vendor credits; tracks payments and communicates with staff/providers. 
  • Clinic Process Oversight & Resident Clinic Support: Monitors clinic workflows, schedules, billing, and resident clinic programs, ensuring efficient operations. 
  • Insurance & Billing Management: Tracks contact lens claims for medical insurance, VSP, BWC, VA, and self-pay; ensures timely submission, payment, and resolution of discrepancies. Pre-determinations for medical contact lenses with medical insurance 
  • Reporting & Expense Review: Reviews monthly workday reports, tracks clinic expenses, builds master reports, and ensures accurate provider billing and payments. 
  • Patient Communication & Coordination: Manages patient inquiries, schedules appointments, assists with insurance issues, and ensures proper documentation for contact lenses and payments.

Qualifications

High School diploma; two or more years of experience in a health care environment; or equivalent combination of education and experience.   Ophthalmology experience helpful. Knowledge of and experience with ICD-9/ICD-10 & CPT coding.  Knowledge of medical terminology and customer/patient service experience.  Organizational and problem solving skills, and ability to manage multiple priorities. Ability to convey information both in writing and verbally.  Must have high level of interpersonal skills to handle sensitive and confidential situations.  Position continually requires demonstrated poise, tact and diplomacy.  Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint). Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

Pay Range

USD $17.06 - USD $25.59 /Hr.
