Responsibilities

Duties and Responsibilities: 

 

  1. Coordinates with other departments to ensure physician coverage for specialty procedures.
  2. Answers incoming calls and relays messages; responds to patient and staff inquiries, schedules clinical appointments, communicates with referring physician offices, responds to faxes and communicates with referring physician offices. Ensures efficient communication with providers and patients.
  3. Schedules, reschedules and coordinates patient appointments across multiple departments. Schedules appointments via computerized appointment scheduling system, patient reception, coordination of medical records and associated clinical and administrative documents.
  4. Schedules patient pre-operative appointments, surgeries, and outpatient procedures and outpatient clinics. Coordinates surgeries/procedures based on physician volume maintaining appropriate standard turn-around times. Ensures pre and post-surgical appointments with surgeon’s and that all necessary tests have been completed. Communicates necessary information to patients. 
  5. Independently manages master surgery schedule for locations and is responsible for keeping both IHIS and Outlook Calendar’s current. Determines order of cases according to criteria supplied by the attending physician.
  6. Manage OR block schedule time by utilizing all sessions. Responsible for offering previous scheduled “block time” to another surgeon within the department or releasing it back to the OR to be utilized by other surgeons in the division.
  7. Provide information and updates in regards to patients’ surgery schedules. Notifies OR in a timely manner during downtime or when time cannot be utilized.
  8. Interacts with patients’, physicians, vendors and other staff both within the clinic and at outside facilities providing accurate, timely and responsive information.
  9. Coordinates processes and routes all paperwork as required to meet physician and facility requirements.
  10. Posts cases while complying with scheduling procedures for each surgical facility. Provides general administrative support.
  11. Works with internal stakeholders on issues related to/surrounding a patient’s insurance coverage to ensure an appropriate service quote, pre-certification & registration.
  12. Ensures that the correct CPT/ICD-9 codes are selected and utilized for preauthorization of surgeries.
  13. Works with department billing staff to investigate all denials, and with assistance from provider, resubmits appeals as necessary

Qualifications

Requirements:  High School diploma; two or more years of experience in a health care environment; or equivalent combination of education and experience Knowledge and strong and efficient interpersonal, verbal, and written communication. Must have high level of interpersonal skills to handle sensitive and confidential situations.  Position continually requires demonstrated poise, tact and diplomacy.  Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MS Word, Excel, Access, PowerPoint). Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines

Preferences:  EPIC experience.

Pay Range

USD $18.79 - USD $28.19 /Hr.
