Responsibilities

Duties and Responsibilities: 

 

This position plays a key role in supporting a world-class Specialty Contact Lens Clinic, working closely with optometrists and clinical staff to ensure exceptional patient care, efficient operations, and accurate financial and insurance processes.

  1. Oversees contact lens orders, returns, and vendor credits; processes patient payments and rebates; tracks financial transactions and communicates updates to staff and providers.
  2. Ensures smooth clinic operations by monitoring schedules, billing processes, and resident clinic programs; supports efficient workflow and coordination across teams.
  3. Manages contact lens claims for medical insurance, VSP, BWC, VA, and self-pay patients; handles pre-determinations for medical contact lenses; ensures timely claim submission, payment, and resolution of discrepancies.
  4. Reviews monthly Workday reports, tracks clinic expenses, and builds master reports to ensure accurate provider billing and financial accountability.
  5. Responds to patient inquiries, assists with scheduling and insurance issues, and ensures proper documentation for contact lens services and payments.
  6. Collaborates closely with optometrists in the Specialty Contact Lens Practice to support patient care, clinical documentation, and insurance coordination for medical contact lenses.
  7. Reviews patient eligibility for financial assistance programs and coordinates appropriate documentation and follow-up.
  8. Performs other related duties as required. This position may be assigned to special projects or accountabilities when other priorities are identified.
  9. Ability to perform functions using job-related software and systems.
  10. Travel may be required to accommodate staffing levels at other clinical facilities.
  11. Attendance, promptness, professionalism, the ability to pay attention to detail, cooperativeness with co-workers and supervisors, and politeness to customers, vendors, and patients.
  12. Other duties or special projects as assigned.

 



Qualifications

High School diploma; two or more years of experience in a health care environment; or equivalent combination of education and experience.  Knowledge of ICD-9/ICD-10 & CPT coding.  Knowledge of medical terminology and customer/patient service experience.  Organizational and problem solving skills, and ability to manage multiple priorities. Ability to convey information both in writing and verbally.  Must have high level of interpersonal skills to handle sensitive and confidential situations.  Position continually requires demonstrated poise, tact and diplomacy.  Knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, Access, PowerPoint). Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

Pay Range

USD $17.84 - USD $26.76 /Hr.
